What I Learned from Denzel: 4 Strategies for Productivity

“I need you all to stop what you’re doing and focus on reworking the annual plans.” When my CTO uttered this during our weekly Director Staff Meeting, the collective eye rolls and teeth sucking could be heard across the Teams Call. Once again we were being asked to waste time reworking something that would not yield any new discoveries, all because our CTO valued hectic and chaotic busyness over actually getting things done. In the fast-paced world we live in, it's easy to confuse being busy with being productive. But, as I often remind my clients, checking items off a never-ending to-do list doesn't mean you're making meaningful progress toward your goals.



Busy Leaders may fill their days with back-to-back meetings, answering emails, and multitasking without taking a moment to step back and reflect on whether these activities are actually moving the needle. Productivity, however, is about focusing on the right tasks—the ones that align with your vision, drive impact, and foster long-term success.


The key to effective leadership lies in making the shift from busyness to intentional productivity. Here are four actionable strategies to help you move beyond the busyness trap and lead with greater focus, purpose, and productivity:



1. Prioritize with Purpose

Instead of reacting to every email, request, or meeting, it’s essential to prioritize tasks that have the highest impact on your goals. Every successful Leader knows the importance of separating the urgent from the important. I advise Leaders to create a clear vision for their long-term goals and ensure their daily tasks align with that vision.


✅ Take Action: 

Start your day by listing the top three tasks that are critical to your strategic goals. Utilize a Kanban Board to help you and your Team prioritize tasks and projects efficiently. This will help you stay on track and avoid being pulled in too many directions.


2. Embrace Deep Work

Deep Work, a term coined by author Cal Newport, refers to focused, uninterrupted time spent on tasks that require significant mental effort. Shallow tasks—like constantly checking your inbox or multitasking—may feel productive, but they only keep you spinning your wheels. Leaders who practice deep work carve out dedicated time to tackle complex tasks that lead to breakthrough ideas and tangible results. By creating space for deep work, you'll not only get more done, but you'll also be working on things that truly keep your projects moving.


✅ Take Action: 

Block out 90-minute sessions of deep work on your calendar, free from distractions. Turn off notifications, close unnecessary tabs, and dive into the most critical tasks without interruptions. Communicate to others that these are your power hours and that you should not be disturbed. 


3. Lean into Delegation

Leaders often believe that if they want something done right, they have to do it. One of the biggest traps of busyness is trying to do everything yourself. However, delegation is a powerful productivity tool that frees you up to focus on higher-value activities. Effective delegation isn't just about handing off tasks—it's about empowering your Team to take ownership and grow. I encourage Leaders to assess their workload and ask: "What tasks can I delegate so I can focus on strategic decisions that move the organization forward?"


✅ Take Action: 

Identify administrative and programmatic tasks that don’t require your direct involvement and delegate them to Team members who have the skill sets to handle them efficiently. Leaders who embrace delegation not only alleviate their own workload, but also cultivate an environment where Teams flourish. It propels them both personally and supercharges Team performance. 


4. Set Boundaries Around Your Time

Busyness often stems from a lack of boundaries. When you say “yes” to every request, you leave little room for focused, productive work. Leaders need to learn how to protect their time by setting clear boundaries—both with themselves and others. This might mean learning to say “no” to non-essential meetings or time-blocking your calendar for strategic planning. By controlling your time, you ensure that your day is filled with meaningful activities rather than just busywork.


✅ Take Action: Review your calendar weekly and eliminate non-essential meetings. Delegate tasks that don’t contribute to your larger goals and ask your Team Members to not send every email to you. If it’s “for information only”, have them cc you on the email and set up your inbox to filter those messages to a folder that you can review at your leisure. 


Becoming a Productive Leader requires a mindset shift. It’s about being intentional with your time and energy, focusing on the activities that truly move the needle, and letting go of the things that don’t. By adopting these four strategies—prioritizing with purpose, embracing deep work, learning to delegate, and setting boundaries—you’ll elevate your leadership effectiveness and move closer to your goals with clarity and purpose.
